RE: Jan 30, 2008 Chat issues

Christian-

Thank you for the email.  I have been pursuing this issue here today...as well as bouncing from meeting to meeting, so I hadn't contacted you yet.

The timeout error that occurred around 910pm is still something we are reviewing.  However, the login issue is something that has already been addressed.  We have identified the issue (it was a setting change specification for the underlying technology) and are testing to assure all is corrected.

Also, I am sharing the enhancement ideas from below with the team.

Darren

Hi, Darren,
Thanks for your help last night. Whatever you did, the chat survived the timeout error.

So it looks like the big issues from last night would be the following:
  • Being able to login (at least three people got the server timeout error)
  • The timeout around 9:11 (or so)

Other issues that counselors talked about:
  • Getting a list of participants (we’ve talked about this as an enhancement)
  • Having a more prominent private message alert (ditto)
  • Being able to scroll through the users (some counselors didn’t see a scroll bar)

Let me know when you hear anything.
Yours,
Christian

Hi Christian,

We looked into the issue you were seeing below.

It appears that the Student Profiles page did not have View Page permissions set for Accepted Students.
We have made the change to allow Accepted Students to see the page.

Here are the steps we took to get to this setting and make the change for future reference:
When logged in as admin, click on "Admin" > "Pages"
Then find "CU Live" and click on "Student Profiles"
Then click on edit.
Scroll down to view the permissions section.
This is where Accepted Students was not checked for "View Page" permission.

I hope this helps understand what the issue at hand was.

Also, I was wondering if you were still having an issue with Timing out? If so, can you please provide me some more details and I can look into that as well.

Hi,
Re: View User Profiles

Users with only the Accepted Students role cannot see the User Profiles module. This needs to be fixed ASAP so that students can see each other.

Mary Chase (admissions director) was having trouble when getting on to Jayspace, starting yesterday morning (as we tested both on Jan. 23 afternoon and Jan 24. morning). She would see everything fine on the Jayspace page, but as soon as she clicked on a User Profile, she received the following message: You do not have access to view this tab within the portal. [I inserted the image below]

I checked out her Security Roles (she had Accepted Student checked), which were not exactly the same as testacc (who had Accepted Student, Accepted Student COBA, Registered User and Test User checked). Her Security Roles were the same as those students who are being auto-assigned roles, however.  They, too, only have (Accepted Student checked).

I thought it might be a glitch with her account. So I created an account. Same results. Something happened, I think, between Jan 23 afternoon and Jan 24 morning. In any case, it needs to be fixed.

Yours,
Christian

Hi, Darren,

We’ve got trouble, right here . . . on the website actually:

https://admissions.creighton.edu/CULive/Blogs/tabid/340/ctl/Edit_Entry/mid/913/Default.aspx

Something seems to be awry with the blog module. When one of my bloggers tried to blog, this is what she got:

Module Load Warning

One or more of the modules on this page did not load. This may be temporary. Please refresh the page (click F5 in most browsers). If the problem persists, please let the Site Administrator know.

(screenshot included)

I tested it by going in as another blogger and received the same error on a different browser and computer.

Could you look into this and try to get it resolved ASAP. We’re trying to keep those blogs up to date.

FW: Jayspace Test (Retake)

Hi, Darren,
I forgot to mention one thing:
  • The side menu in IE keeps dropping in the Jayspace pages: https://admissions.creighton.edu/JayspaceHome/tabid/591/Default.aspx  Do you know how we can avoid that? It could be that I have a table in the side menu, but I kind of need it there. Is there a width maximum that I’m violating?

Jayspace Test (Retake)

Hi, Darren,
Our counselors took the Jayspace challenge once more. It fared a good deal better, as I’m sure you can imagine, based on the work you described. No one reported any login difficulties (kudos).

The user-friendliness of the system was discussed (you know our concerns along these lines). Out of this conversation, however, came a request I wanted to put to you:
  • Can we send an e-mail when a profile has been created (or even whey someone has logged in to Jayspace for the first time) with a few handy tips for using the tool?

Lastly, a counselor was wondering about MSN for the IM. I said that I knew that you were working on this. Is there any timeline for this to be added?

Thank you for keeping us abreast of the fixes and changes that you are making. I look forward to hearing from you soon.

Yours,

Jayspace Login Issue

Christian-

I am thrilled to report that the Login redirect to the Jayspace page for Accepted and Enrolled users has been fixed.  The profile thumbnail viewer functionality was running a stored proc that was taking longer than 30 seconds (which is the timeout period for a webpage) most of the time so that's why it was throwing the error.  We've optimized that stored procedure and the page is loading quickly again so we can check this issue off the list.  I am seeking additional clarification on why this was not noted previously...or if this is something that recently occurred, per Mary's earlier email.  I hope to have more follow up this week.

However, that being said...I would also appreciate a confirmation of this from your end.

Darren

New User Profile (Now with minty fresh IM=?ISO-8859-1?B?gQ==?=)

Hi,
In light light of our Jayspace debacle yesterday, I decided to look at what else we could put on the profiles. As it turns out, we can allow users to chat with their rediscovered or newly-found friends.

The AIM and Yahoo attributes (renamed IM (AOL) and IM (Yahoo) for the purposes of display on the user profiles) not only allow you put the address it, but they also show one’s online status and are linked to your client IM software (AOL or Yahoo).  This is because they are attribute types: AIM ID and Yahoo ID, respectively, rather than merely text.

While I’m pleased to have discovered this (nay, ecstatic), I am surprised no one told me that I could do this, given our many discussions about this module. So . . . now we all know, I guess. And now I want MORE:
  • Can we have the same for MSN and Gmail? (Aren’t these the other popular IM tools? Does anyone know what’s popular right now?)
  • Can’t we have e-mail be of an Attribute type JT calls “email” and is made to be linked to open one’s mail app? All it would really take is appending “mailto:” to front of whatever is entered or comes over via import. You guys can do that, surely.

Anyway, I wanted to share. We do have IM on the User Profiles (so long as you have AIM or Yahoo).
Yours,
Christian

RE: Jayspace page as an administrator

Christian-

Regarding the Administrator level access to the Jayspace homepage, here is the issue.

Jayspace was created and named Jayspace.  (of course)  Similarly, because of how we want to identify the location and have students access it, the postcards have been printed with the URL "admissions.creighton.edu/jayspace"

However, to achieve this clean URL for the postcards, we have implemented a redirect that take a user to the login page for Jayspace...NOT to the Jayspace homepage.  This is the issue you are seeing, which in actuality is not really an issue, it is just a result of how we want/need the redirect URL to function.

We just talked about this on the telephone and explained in detail, but I wanted to send this email too so we have this identified in the Undergrad Website Issues.

I will consider this issue closed, per our conversation, unless something else comes up.

Thanks.

Darren

Hi, Darren,
We did a test of the Jayspace (online community/social networking) area of the website from 3 – 4 p.m. today, and the results were fairly disappointing. Rather than take you through it blow by excruciating blow, I’ll give you the summary of issues encountered:
  • When three people or more tried to login at the same time, they all got the same kind of timeout error (image attached). It may be less people, even, as it’s hard to determine exactly when someone presses the enter to login. In any case, the site doesn’t seem to be able even a few people logging in at the same time. This was probably the most frustrating part of the experience, just not being able to get on at all. It took us at least 20 minutes, possibly longer, before everyone was logged in.
>>>>Obviously, this is completely unacceptable.  I am asking this be addresses immediately this morning.  I am walking this email to the appropriate individuals for action. I will provide further updates the moment I have anything to share as to why this is occurring and the corrective action being taken.
  • In the Edit My Profile portion, Mary tried to change the picture that would show up when searching for her, but it wouldn’t take. This situation of the photo upload was repeated by others, who also had a hard time uploading pictures, only to find them not showing up or showing up as broken image sources in the View My Profile.
>>>You and I have never seen this happen in our work with the tool, so I am at a loss as to why this is occurring, but it will be looked at this morning as well.
  • The Edit My Profile also feels half-baked to our users, who had a hard time noticing the “update profile” link in between the text/html box and the photo upload.
>>>>I understand what you are indicating.  The tool has always been like this, but we can use this feedback as information for completing additional updates on an accelerated basis, with the newly assembled team.
  • This page also doesn’t work in Safari, giving users no set of tools for the text/html box. Unless they know html, they can’t really do anything in that box.
>>>>We will look at this.

  • People also were confused by the “Find a Friend” module (which I’ve named “Make a Friend”), when it would return results of a people most like them with a link to their profile. They couldn’t understand why there was no way to contact that person (a hyperlinked e-mail, for instance). All I could say was that this was how the module was designed.
>>>>This has already been discussed and indicated (internally by our team) as an enhancement that will be added in the near term to the functionality of this page.  But, you are correct...that is how the module functions currently until the update is complete.
  • The “Search User Profiles” (“Find a Friend” on Jayspace) was not intuitive at all for our users. With the green plus and red X, they didn’t know how to use it (despite my instructions).
>>>>Noted.  You are correct.  You shouldn't have to explain this to the level you have had to in order to make it work for your team.

My concern is that Mary’s concerned, obviously. But in a bigger way, if these users, who are mostly young(-ish), college educated, web-savvy folks, can’t figure it out when they are actually trying to as part of their job, how much less will a high school senior understand how to use this and, therefore, not use it. It is really troubling.

I think that covers it. Please let me know when these concerns can be addressed as we are still waiting to send our Jayspace card until this is really ready for the general public.   >>>>I am sorry you have continued to delay this project.  I am copying Cathy on this email and am setting a meeting to discuss this.  One or both of us will provide additional follow-up and feedback this afternoon.

Events Module

Hi, Darren,
I created a page and an event:
https://admissions.creighton.edu/Eventmoduletest_Christian/tabid/1320/Default.aspx
Here are my questions so far:
·
What is the purpose and how do I correctly add a group to the Additional Info Form? How do I use the Additional Info Form at all?

·      Can users enroll? I'm not seeing any link for that?

·      Module settings: When I Disable Month View Cell Events, and I return to Month view, no event is listed even when clicking on a day with an event: "No events for selected date…" is returned. View Week and List Events brings up the event, though.

If he can have variable data show up and if we have the URL where the video (exists), can we have the attribute be a URL that a user can simply click to play the media at that URL?
I’m not sure, but how hard would it be to have a URL link show up as the variable data?

Media files as user attributes

Hi, Darren,
In light of our conversation, I wanted to clarify for myself just what we had discussed as possible strategies for the College of Business accept videos.

Ultimately, in order to use AG to deliver the personalized message either by way of a personalized video or a personalized audio that precedes the video, we would need to be able to have user attributes that are basically the URLs for each media file. Whether we do a personalized video for each or one video with personalized audio on the page, the variable data would be the URL where that media is accessible.

Other than server space (which would be significant in the case of doing personalized videos to each or even personalized audio clips (which would be MUCH smaller), the big issue is this:
How would we make a (audio or video) player of some kind use the variable data when the page loads?
That’s where I hit a road block. Does anyone at James Tower have an answer for that?

Please let me know about this ASAP as time is short and our goals are long.
Yours,
Christian

Hi, Darren,
I created the Jayspace login. It seems to be working fine.

Now, we urgently need a redirect
Could you make sure that we have a the following URL redirect created as soon as possible:
http://admissions.creighton.edu/jayspace
which would take visitors to the Jayspace_Login:

Please let me know when this is done.

p.s. An interesting behavior of the login module: you need to recreate all the role-based redirects when adding an instance of the module. This, of course, means that we could create multiple login pages (if we were doing an e-mail campaign, for instance, and have each login redirect differently). Kind of cool.

Events module issues

Hi, Darren,

I wanted to see if you have found out anything about the Events Module.
The last time we talked about the module on 7 Dec 2007, these were the issues that were unresolved:
  • There was no way to approve an event registration.
  • The Events report was not functioning correctly.
You were expecting to receive information about these issues on Mon. Dec. 10.

Other items that we discussed as enhancements included:
  • Removing the approval process altogether.
  • Removing the enlarging text function from event lists.

Can we talk about this during our phone call today?

Hi, Darren,
The NetID information for admitted students stopped displaying a little while ago. Unfortunately, I can’t say when as I don’t remember.
I tried to reenter the variable data information into the module, but I’m still not seeing anything. Is there something I am doing wrong.
Let’s try to fix this as well during our phone call today.

URL Redirect and Additional Login

Hi, Darren,
The Jayspace card is off the printer, which means I have to do something with the URL that we list: http://admissions.creighton.edu/jayspace
I have a couple questions related to this:
  1. Can I create and additional login page with is Jayspace-themed? Will that hamper the functionality of the login page?
  2. Can we have a redirect created that will take visitors to this login page when they type in the promoted jayspace URL?
As these are already at the printer (as of yesterday), I need to get on this right away. Please let me know ASAP.
Yours,
Christian

Main Page Flash header problems

Hi, Darren,
I changed the header for the Community/Jayspace page. The old flash header on that page must have been a reference to the one on the main page (or vice versa, actually), because when I made it visible to administrators only on the Community page, it became invisible to other users on the Main Page as well. As a result, I deleted it from the main page.
The new one, though, is interfering with the drop down menus in Firefox, making the dropdowns essentially inoperable.
It doesn’t behave correctly in IE either, making the screen flash every time the cursor is over on of the dropdown menu items.
Could you have this fixed as soon as possible? And help me understand how to avoid it in the future.
Yours,
Christian

Profile settings

Hi, Darren,
In light of our conversation after the chat on Friday, I have searched for any way that “username” could be added to the profiles. I can’t find it. Perhaps that is not what’s needed, however, as their username is integral to their profile (or, perhaps, is meant to be invisible).
  • Can Username be added to the available attributes?
Please let me know if this is possible.

Here’s another the odd thing:
Even though First Name is an attribute in the Profile settings, it does not show up in the list for the profile search. Is there  a place where this is controlled? If so, can you please show me where that is.

Here’s a pic to show you what I mean:

Thanks, Darren, for helping me understand just what we’ve got here and what it can do.
Yours,
Christian

Chat test and Inactivity Timeout

Hi, Darren,
Thanks again for setting up and including us in the test. We were generally reassured by the results of the test. Also, I appreciate your making the chat unavailable after I set up the room on Friday p.m.

One thing I wanted to follow up on regarding the chat:
  • How long can one remain inactive before getting a timeout?
  • Is there anyway to change this?
We have a feeling that a lot of people will just want to watch rather than participate in the chat.

I would like to have this information within the next couple weeks. We’re planning to schedule the next chat for the end of January.

Yours,
Christian

RE: Jayspace Updates

Christian-

Are you going in as an administrator or are you going in as an Accepted and/or Enrolled Student?

Administrators always will see everyone.  That is and always will be the case for good reasons.  However, if you search profiles with the testacc or testenr accounts, you shouldn't see any of the administrative accounts showing up in the profiles.

If you are...or if you are doing something different than this, please let me know.  But, I ran the exact same search you did below under the testacc account and did not get the administrators you are showing in this screen grab.

Let's talk tomorrow.

Thanks.

Darren

Hi, Darren,
I had a chance to look at some of the changes you wrote about below.

Re: 2
I am still seeing all kinds of profiles show up, including Darren Wacker and James Ward.

Re: UsersOnline
It looks like the "UsersOnline" module only shows people by username. Is there a way to either 1) change it to display name or 2) change the profile viewer so that you can by username? Otherwise, how are users to know who to search for?
Yours,
Christian

I hope you have a great, relaxing time off.  Just wanted to share a little update on JaySpace.

1.  I have sent emails...I won't recap

2.  I have changed access to the Search functionality.  We should review how this is done for this module.

3.  I have changed (based on #2 above) the offending profiles so they no longer appear.  The changes I have made are:

a.  I removed the "ACC" role from the account Taylor Olds...one Mary was using.  I also removed it from Christian Burk.
b.  I removed the "ENR" role from the accounts Nicholas Wininger and Ashley Fuchigami.

Please let me know if this all works and is accessible.  I don't know what this would cause issues...but if it does...we can easily switch back.

Ok...talk to you soon.

Darren
